Free Productivity Tools: Seat Caps, Board Limits and Automation Quotas
Ten productivity and automation tools. Collaborator caps, board limits, execution quotas and where each free tier stops being usable.
Productivity free tiers are limited by people rather than by volume. A project tool that allows unlimited projects for two people is generous until the third person joins, at which point the workspace stops working the way you designed it.
Count the seats and the collaborators first. Most of these tools are comfortable on free for an individual or a pair, and most of them become unusable at the exact moment a team grows past that.
All 10 reports in this category
- Airtable Free: 1,000 Records Per Base, Five Editors. Unlimited bases sounds like unlimited capacity. The 1,000-record ceiling per base is what stops most real databases in the first three months.
- Asana Free: Two People, Unlimited Projects. Unlimited projects for two people, which is generous until a third person joins and the whole workspace stops being usable.
- Calendly Free: One Event Type, One Calendar. Unlimited meetings, one type of meeting. That distinction is the whole free tier, and it decides whether Calendly can replace your scheduling at all.
- ClickUp Free: Unlimited Tasks, 60MB of Storage. Unlimited tasks and unlimited members, against 60 megabytes of storage. That ratio tells you exactly what the free tier is for.
- Make Free Gives 1,000 Credits and Multi-Step Scenarios. The most generous automation free tier of the three, undone by two active scenarios and a quarter-hour wait between runs.
- n8n Has No Free Tier, Only a Free Product. Every other tool here rations a hosted free tier. n8n gives the software away instead, and charges for the server you no longer have to run.
- Obsidian Is Free, Complete, and Needs No Account. The rarest kind of free tier: the whole product, permanently, without an account. What it does not include is any way to get your notes onto a second device.
- Todoist Free: 5 Projects, and It Never Expires. A permanent free tier with a real ceiling on structure rather than features. Five projects is generous until your work and your life both need separating.
- Trello Free: Unlimited Cards, Ten Boards. Cards are unlimited and always have been. The board cap and the collaborator cap are what the free tier actually charges you in.
- Zapier Free Stops at 100 Tasks and Two Steps. The task count is the number people watch. The two-step limit is the one that decides what you can actually build.
How these were measured
Every report records the same fields: what the free plan includes, what it withholds, what the first paid tier costs, and the point at which paying starts to make sense. Figures are taken from the vendor's own pricing and documentation pages and carry the date they were checked. Plan terms change without notice, so treat each number as a dated snapshot.
